Assistant Project Manager/Estimator 

American Refrigeration Company was founded in 1996 and is the largest independent industrial refrigeration service company in New England. ARC provides services for refrigeration and air conditioning system design, alternative refrigerant evaluation, product freezing/cooling response evaluations, energy studies, and computerized plan performance evaluations. ARC also provides construction and equipment maintenance and repair for other industrial and commercial refrigeration and HVAC needs.

ARC prides itself in the installation of world class systems for leaders in the food and beverage, cold storage arena, pharmaceutical, and process industries. ARC provides full-service capabilities including design, installation and after-market services. Recreational refrigeration applications include artificial ice surfaces for various sporting activities including hockey and skating.

The Assistant Project Manager/Estimator will support the company’s New Systems and Systems Solutions Teams to ensure the successful completion of all new projects with a focus on pre-construction. They will assist the Project Managers in coordinating and implementing the different aspects of a project with the goal of bringing the projects deliverables in within the specified time and budget. They will help the Project Manager meet the quality standards of the project as well as document control for the entire project.

Under specific direction from the Director of New Systems and Project Managers, the Assistant Project Manager will also be responsible for:

Essential Functions & Responsibilities:

  • Assisting in the planning and implementation of projects
  • Helping to coordinate and manage project tasks and deliverables.
  • Conducting administrative duties, such as setting up meetings, drafting invoices and drawing estimates
  • Assist with maintaining budgets and cost projections.
  • Project planning, scheduling, and coordination
  • Possess knowledge in estimating, scheduling and construction specification
  • Maintain project documentation control
  • Assist in managing subcontractors and vendors
  • Prepares work to be estimated by gathering proposals, blueprints, specifications, and related documents
  • Identifies labor, material, and time requirements by studying proposals, blueprints, specifications, & related documents.
  • Computes costs by analyzing labor, material, and time requirements.
  • Resolves discrepancies by collecting and analyzing information.
  • Presents prepared estimate by assembling and displaying numerical and descriptive information.
  • Prepares estimates by coordinating with multiple subcontractors
  • Maintains cost data base by entering and backing up data.

 

Experience & Working Knowledge:

  • Bachelor’s degree in Mechanical Engineering or Construction Management or equivalent preferred
  • Minimum 2 years of field or internship experience preferred.
  • Strong written and communication skills
  • Working knowledge of subcontractors and MEP experience
  • Demonstrate leadership skills
  • Excellent project management skills
  • Strong people skills and attentive to details
  • Experience working in a high demand, fast paced industry
  • Experience with Microsoft Office, Procore, Bluebeam and AutoCAD
  • Availability to travel throughout New England and the Northeast region
  • High-level problem-solving abilities
  • Ability to manage shifting priorities

 

Billing Specialist

ARC employees are challenged to innovate and encouraged to apply their talent and knowledge in an environment that values teamwork, integrity, and diversity.  The Billing Specialist will be responsible for all aspects of ARC’s invoicing processes.   This includes data collection, processing, and distribution of all invoices.   The Billing Specialist will work closely with Operations and Accounting to ensure timely and accurate delivery of all customer invoicing.

Under specific direction from the Controller, the Billing Specialist will also be responsible for:

Job Duties and Responsibilities

  • Prepare and process all invoicing for the Service department, including but not limited to Time & Material, Planned Maintenance, and Fixed Fee projects
  • Ensure that each invoice meets ARC’s internal requirements and had obtained proper approvals
  • Generate and analyze necessary reporting to verify that final invoicing figures reconcile with project documentation
  • Review all invoicing prior to distribution to confirm that all remittance information is accurate and customer instructions are followed
  • Collaborate with AR Collections and Billing Specialist to assist with timely collection of all open receivable balances
  • Work with Service team to ensure timely invoicing and that all monthly cutoffs are met
  • Work with Accounting team on year-end audit
  • Other projects as necessary

Experience and Working Knowledge

  • 5+ years’ experience in a Billing Specialist (or similar) role
  • Strong understanding of billing and collections processes in a high-volume environment
  • Excellent attention to details
  • Strong written and verbal communication skills
  • Strong people skills and willingness to collaborate
  • Experience working in a high demand, fast paced industry
  • High-level problem-solving abilities
  • Ability to act with discretion, tact, and professionalism in all situations
  • Ability to manage shifting priorities
