Service Administrator

Reporting to the Service Coordination Manager, the Service Administrator will provide administrative
support to the Service Department, as to ensure delivery of effective and efficient customer service. This position requires a high level of multi-tasking, where independent judgment is required to plan, prioritize, and organize a diverse workload.

Under specific direction from the Service Coordination Manager, the Service Administrator will also be responsible for:

Job Duties and Responsibilities

• Requests, processes, and accurately reconciles service technician paperwork including but not limited to time slips, work orders, expense reports, etc.
• Generates invoices for work performed
• Drafts and maintains purchase orders
• May assist with Accounts Receivable duties
• Handles communications by email, mail, fax
• Answers and directs incoming telephone calls
• Maintains technician and customer files
• Assembles and distributes maintenance logbook
• Reviews and interrogates service billings and contract performance to ensure profitability
• Setup and Maintenance of service contracts
• Assists with scheduling meetings, arranging travel, issuing memos, distributing information to customers and staff, and other administrative tasks as required
• Be a positive and encouraging presence in the office
• Become proficient and lead on Jonas functions, including eMobile, tablets
• Maintain customer rate sheets, and Jonas billing rate


• Software experience necessary: Microsoft Suite and Jonas Construction Software (preferred)
• Experience working in a construction and/or union environment (preferred)
• Possesses a high level of initiative coupled with the intuition to make sound decisions quickly.
• Superior interpersonal skills, ability to work well with others.
• Excellent oral and written communication skills; detail oriented organizational skills.
• Ability to manage multiple objectives and properly prioritize workload

Service Coordinator

As Service Coordinator, qualified candidates will be responsible for supporting our Service Group technicians and understanding their skill sets to ensure we are able to meet our clients’ needs. The Service Coordinator will develop and implement processes that ensure we are delivering the best service possible to our clients and will work closely with the sales staff to provide technical input when necessary.

Job Duties and Responsibilities

•  Work as part of a dispatch team with other Service Coordinators
•  Knowledge of technicians’ locations and schedules at all times
•  Schedule and dispatch technicians to appropriate service appointments
•  Serve as department liaison with clients both internal and external; handling calls, answering inquiries and conducting follow up as necessary
•  Coordinate material, part, equipment rentals, and tool purchases for service technicians
•  Set up and maintain whatever client and/or tracking databases are required.
•  Collect, reconcile and submit service technician timesheets
•  Work closely with Service Manager to prepare annual execution plan of service calls and service techs (matches level of work to skill of tech)
•  Schedule all monthly PM calls per schedule


Associates degree in a Technical or Business discipline desired, with a minimum of 3 years experience supporting a team withing a services business, preferably in the HVAC/R industry.

Skills and Special Requirements:
•  Experience leading in a technical environment (HVAC/R) is strongly preferred
•  Strong business acumen including a solid understanding of service contracts, an eye for detail and superior customer service skills
•  Possesses a high level of initiative coupled with the intuition to make sound decisions quickly
•  Computer literacy including use of Microsoft Applications (Outlook, Word, Excel, PowerPoint) and basic ERP navigation skills
•  Experience with Customer Relationship Management (CRM) Software is preferred.
•  Superior interpersonal skills, ability to work well with others
•  Excellent oral and written communication skills; detail oriented organizational skills
•  Ability to manage multiple objectives and properly prioritize workload
•  Experience with Jonas Software considered a plus

Warehouse/Facilities Manager

The Warehouse/Facilities Manger will oversee the company’s facility operations and manage the warehouse truck drivers, tool inventory, equipment maintenance, daily shipments, and related warehouse logistics. Facilities operations are to include maintaining and coordinating mechanical, electrical, plumbing and HVAC repairs to improve the buildings performance and operations. Under specific direction from the Director of New Systems, the Warehouse/Facility Manager will also be responsible for:

Job Duties + Responsibilities

Warehouse Manager:
• Manage warehouse organization to optimize available space
• Coordinate with the Directors of Construction and Service on daily internal and external distributions
• Provide delivery drivers with daily schedules based on project and service needs
• Collaborate with the System Team on implementing operational procedures
• Issue and coordinate RMA’s for returned materials to vendors for credits as appropriate
• Organize out going tools/parts and track materials as they are returned to the warehouse
• Ensure owned tools/equipment are maintained and stored properly/repaired and/or suggest replacement, as necessary.
• Responsible for UPS/FEDEX daily shipments and deliveries
• Process orders as they come in and communicate deliveries to the appropriate parties
• Ensure compliance with all safety protocols within the warehouse and job site drop offs
• Motivate and promote a positive attitude

Facilities Operations/Fleet:
• Coordinate system repairs and monitor system performance
• Ensure compliance with all safety and security protocols
• Ensure access to the building is available at all times (snow removal)
• Monitor the buildings security alarm and be readily available if the alarm is activated
• Manage 210 Andover St. Fab shop for system repairs, safety, and organization
• Monitor and Approve Fleet Repairs – for delivery trucks and field vehicles
• Assembles and distributes maintenance logbooks

Experience + Working Knowledge

Required Facilities Skills:
• 8+ years’ experience in facilities management position or relevant experience
• Strong understanding of warehouse flow metrics and organization
• Strong written and communication skills
• Working knowledge of subcontractors and MEP experience
• Demonstrate leadership skills
• Excellent project management skills
• Strong people skills and attentive to details
• Experience working in a high demand, fast paced industry
• Strong trade skills preferred
• High-level problem-solving abilities
• Ability to manage shifting priorities
